Administrative Assistant for a 1 year contract (renewable). Provides departmental administrative support and travel coordination.
Job Responsibility:
Serve as the primary point of contact for directing or answering questions and providing ad hoc support to departmental employees
Assist with the smooth onboarding of new employees, including the accurate input of Personnel Movement Requisitions (PMRs) in the system for personnel moves and team changes
Order and manage office supplies to ensure the department is well-stocked
Distribute internal mail efficiently within the department
Initiate, submit and follow-up on facilities related tickets such as office/desk moves, meeting room setups, and tickets for facilities issues or concerns
Submit and follow up on IT-related tickets to ensure timely resolution of technical issues
Coordinate visits for external customers, including arranging meetings, catering, and visitor forms
Maintain a strong knowledge and understanding of company policies and procedures to ensure compliance and provide accurate information
Maintain and organize departmental records, files, and databases on electronic drives to ensure accurate and up-to-date file storage
Coordinate and book flights, hotels, and other travel-related services ensuring timely and efficient travel plans
Process travel expenses in accordance with company policies, ensuring timely submission and reimbursement
Work closely with stakeholders to resolve any issues or discrepancies related to travel expenses
