We are looking for a detail-oriented Administrative Assistant to join our team in Boca Raton, Florida. In this role, you will provide essential support to the leasing team, ensuring smooth operations and effective coordination. This position requires strong organizational skills, attention to detail, and the ability to thrive in a collaborative, family-oriented workplace.
Job Responsibility:
Provide administrative support to the leasing team, including managing daily tasks and ensuring all operations run efficiently
Process and code invoices accurately, maintaining proper documentation and records
Track deals and expenses, ensuring all financial data is up-to-date and organized
Answer inbound calls with care and attention, addressing inquiries and redirecting as necessary
Perform data entry tasks with precision, ensuring information is accurately recorded
Assist with receptionist duties, such as greeting visitors and maintaining a welcoming office environment
Utilize Microsoft Excel for data analysis, reporting, and other administrative tasks
Maintain a highly organized workspace and ensure all files and records are easily accessible
Requirements:
Proven experience in administrative support or related roles
Proficiency in Microsoft Excel, including basic formulas and data organization
Strong organizational and multitasking skills with keen attention to detail
Ability to handle inbound calls professionally and efficiently
Familiarity with coding invoices and managing financial records
Excellent communication skills, both written and verbal
Experience with data entry and maintaining accurate records
A team-oriented mindset with the ability to adapt to a collaborative work environment
Previous experience using Yardi in a property management environment (preferred)
