We are looking for an organized and bilingual Administrative Assistant to join our team at a Property Management Company in the Bronx, New York, on a contract basis. This role involves supporting office operations for a dynamic group of up to 70 individuals, ensuring smooth daily workflows and a welcoming environment for visitors. The position is ideal for someone with experience in real estate or property management, though this is not required.
Job Responsibility:
Serve as the primary point of contact in the office, assisting both on-site and hybrid workers with various needs
Coordinate lunch schedules, manage deliveries, and ensure accurate tracking and confirmations
Oversee the booking and organization of conference rooms
Manage visitor security by logging their information and directing them to appropriate areas
Welcome visitors to the reception area and provide refreshments such as coffee, tea, or water
Prepare FedEx shipping labels and handle package assembly
Sort and distribute incoming mail efficiently
Maintain a detail-oriented and friendly atmosphere at the reception area, greeting guests and staff alike
Requirements:
Must be fluent in Spanish
Previous experience in real estate or property management is preferred
Strong organizational skills and attention to detail are essential
Ability to effectively coordinate schedules and deliveries
Proficiency in handling conference room bookings and visitor management
Familiarity with administrative tasks such as mail sorting and package preparation
Excellent interpersonal skills to create a welcoming office environment
Comfortable working in a fast-paced office with up to 70 staff members
Nice to have:
