We are looking for an Administrative Assistant to support daily office operations for a non-profit organization in Portland, Oregon. Job Responsibility
Perform data entry tasks with accuracy while maintaining up-to-date administrative records and files
Prepare, organize, and distribute documents, correspondence, and other office materials as needed
Coordinate calendars, meetings, and general scheduling needs for staff and internal activities
Take clear meeting notes and help track follow-up items to support team communication and accountability
Use tools such as Asana and Microsoft Office to monitor tasks, update information, and assist with day-to-day administrative workflows
Provide general administrative assistance across office operations to support departmental needs and priorities
Requirements
Previous experience in an administrative assistant, receptionist, or general office support role
Ability to manage inbound calls, visitor interactions, and routine office tasks with strong attention to detail
Strong data entry skills with careful attention to accuracy and detail
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook
Familiarity with Asana or other task management platforms used to organize assignments and deadlines
Clear written and verbal communication skills, including the ability to document meeting notes effectively
Strong organizational skills with the ability to prioritize multiple responsibilities in a busy office setting
