The Administrative Assistant manages incoming telephone communications, welcomes clients, and provides comprehensive administrative support to ensure the efficient operation of the office. Duties include opening and organizing client files, coordinating electronic correspondence, preparing bank deposits, and maintaining accurate filing systems.
Job Responsibility
Greet clients, answer incoming calls, and direct inquiries appropriately
Open and organize new client files for assignment to file preparers
Provide support to the Executive Assistant, including coverage during absences
Perform general office and administrative tasks as required
Process bill payments and prepare bank deposits
Manage electronic correspondence through the firm’s secure platform (e-courier)
Assist with the preparation of financial statements, as required
Assist with T1 personal tax return preparation and/or administration, as required
Maintain accurate filing and organization of documents
Perform other related duties as required
Requirements
Minimum of 1 year of experience in an administrative or similar role
Post-secondary education in administration or relevant work experience is an asset
Proficiency in Microsoft Office applications, including Excel, Word, and Outlook
Strong communication skills, with the ability to interact professionally with clients
Strong teamwork skills, with the ability to collaborate effectively and support colleagues
Excellent organizational and time management skills, with the ability to prioritize tasks and manage deadlines
High level of attention to detail and discretion, with the ability to handle sensitive and confidential information
Bilingualism in French and English is considered an asset
Nice to have
Post-secondary education in administration or relevant work experience
