Job Description:

We are looking for a skilled Administrative Assistant to provide comprehensive support to the Executive Director and executive staff of multiple state agencies. This long-term contract position requires exceptional organizational and communication skills to ensure smooth operations and alignment of priorities.

Job Responsibility:

  • Coordinate the Executive Director's calendar by scheduling appointments, meetings, and travel arrangements, ensuring optimal time management
  • Prepare and organize materials for executive meetings, including agendas, reports, presentations, and follow-up correspondence
  • Act as a liaison between the Executive Director and internal or external stakeholders, responding to communications and ensuring timely resolutions
  • Track and manage administrative tasks and deadlines, ensuring action items are completed efficiently and accurately
  • Handle confidential information with discretion and professionalism, maintaining trust and security
  • Assist in drafting and editing correspondence, reports, and other documents as needed
  • Facilitate communication and collaboration between government officials, community leaders, and partner organizations
  • Provide administrative support to executive staff, including managing documents, filing systems, and office resources
  • Address inbound calls and inquiries, directing them appropriately or resolving issues as necessary

Requirements:

  • Proven experience as an administrative assistant or in a similar role supporting executive-level staff
  • Strong organizational skills with the ability to manage multiple tasks and deadlines effectively
  • Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders
  • Proficiency in Microsoft Office Suite and other relevant software tools
  • Ability to handle sensitive and confidential information with discretion
  • Skilled in scheduling, calendar management, and travel coordination
  • Detail-oriented and capable of preparing accurate reports, presentations, and correspondence

Nice to have:

Experience in data entry and receptionist duties
