Job Description:

We are looking for a dedicated and detail-oriented Administrative Assistant to provide comprehensive support to company leadership and ensure the smooth operation of daily administrative tasks. This role is pivotal in managing schedules, coordinating travel arrangements, and preparing essential reports while fostering effective communication across teams and external partners. The ideal candidate thrives in a fast-paced environment and brings exceptional organizational skills and attention to detail to the table.

Job Responsibility:

  • Organize and maintain executive calendars, ensuring all appointments and meetings are scheduled effectively
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation
  • Prepare detailed agendas, reports, and presentations to support leadership and team meetings
  • Handle expense reports by tracking and reconciling costs accurately
  • Facilitate communication between internal teams and external stakeholders to ensure seamless collaboration
  • Manage office operations, including ordering supplies and overseeing vendor relationships
  • Greet and assist visitors, acting as a reliable liaison for guests and vendors
  • Plan and coordinate meetings, including logistics, scheduling, and material preparation
  • Perform data entry tasks with a high degree of accuracy and attention to detail
  • Utilize Microsoft Excel and Outlook to support administrative and operational needs

Requirements:

  • Proven experience in an administrative or executive assistant role
  • Proficiency in Microsoft Excel, Outlook, and other office productivity tools
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively
  • Exceptional attention to detail and accuracy in handling data entry and expense reports
  • Experience in calendar management and coordinating travel arrangements
  • Excellent communication skills, both written and verbal
  • Ability to maintain discretion and handle confidential information with professionalism
  • Self-motivated and able to work independently in a fast-paced environment
