We are looking for an Administrative Assistant to join our team in Fairfield, New Jersey. This Contract to permanent position offers an excellent opportunity to contribute to the daily operations of our residential property management office. The ideal candidate will excel in administrative tasks while being comfortable handling various responsibilities related to resident services and office support.
Job Responsibility:
Perform general administrative tasks such as filing, scanning, and data entry to maintain organized office records
Assist with the preparation and distribution of lease agreements and other property-related documents
Provide support to residents by creating move-in packets, parking passes, and pet documentation
Handle inbound and outbound calls to address resident inquiries and provide excellent customer service
Manage email correspondence in a timely and efficient manner
Offer receptionist coverage as needed, ensuring smooth front desk operations
Utilize Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint, for various administrative tasks
Collaborate with the property management team to ensure efficient daily operations
Participate in training sessions to develop proficiency in company systems and procedures
Requirements:
Proven experience in administrative roles, preferably within residential property management
Strong proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint
Excellent communication skills, both written and verbal, with a focus on customer service
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Detail-oriented with exceptional organizational skills
Comfortable handling inbound and outbound calls and managing email correspondence
Nice to have:
Familiarity with handling resident documentation, such as parking passes and pet forms
Willingness to learn and adapt to new systems and processes through training
