We are looking for a detail-oriented Administrative Assistant to join our team in Bakersfield, California. This role requires an individual who excels in communication, organization, and multitasking to support both front desk operations and accounting functions. The ideal candidate will bring a proactive approach to problem-solving and a collaborative mindset to ensure smooth day-to-day operations.
Job Responsibility:
Manage front desk operations, including answering inbound calls, scheduling appointments, and greeting visitors with professionalism
Provide administrative support to the accounting department, assisting with accounts payable (AP) and accounts receivable (AR) tasks
Reconcile contract employee timecards on a daily and weekly basis to ensure accuracy
Organize and maintain office documents such as invoices, credit card receipts, and training materials by scanning, saving, and filing
Coordinate email correspondence and handle customer inquiries with clarity and efficiency
Utilize Microsoft Suite tools, including Excel, Outlook, Word, and PowerPoint, to complete various clerical tasks
Assist the Finance Controller and other team members with special projects and day-to-day operations
Maintain company records and complete required updates as needed
Collaborate with team members to identify and solve issues independently or in group settings
Ensure adherence to company policies and procedures while managing assigned duties
Requirements:
Minimum of 3 years of experience in an office or administrative role
Proficiency with Microsoft Excel, Word, Outlook, and PowerPoint
Strong written and verbal communication skills to handle correspondence and customer interactions
Familiarity with accounts payable and accounts receivable systems
Ability to multitask and manage priorities in a fast-paced environment
Experience with data entry and document organization
Problem-solving skills and the ability to work independently or collaboratively
Previous experience in a receptionist or front desk role preferred
