We are looking for an organized and detail-oriented Administrative Assistant to join our team in Phoenix, Arizona. This Contract-to-Permanent position is ideal for someone who thrives in a fast-paced environment and enjoys coordinating communication and administrative tasks. The successful candidate will play a key role in supporting office operations and ensuring smooth workflows.
Job Responsibility:
Coordinate communication between service technicians and the service controller, relaying instructions and scheduling assignments
Manage purchase orders (POs) and ensure accurate record-keeping
Gather and document detailed information related to service calls
Perform dispatch-related tasks, including assigning service calls based on directions from the service controller
Answer incoming calls and provide courteous assistance to clients and team members
Maintain and update data entry records accurately and efficiently
Perform receptionist duties such as greeting visitors and handling inquiries
Utilize Microsoft Excel for data tracking and reporting
Assist with QuickBooks-related tasks as needed, ensuring financial records are up-to-date
Requirements:
Proven experience in administrative assistance or office support roles
Strong communication skills, both written and verbal, with the ability to coordinate effectively
Proficiency in Microsoft Excel and other basic office software
Experience handling inbound calls and providing receptionist duties
Ability to perform accurate data entry and maintain organized records
Familiarity with dispatching processes is a plus
QuickBooks experience is preferred but not required
Excellent organizational skills and attention to detail
