We are looking for an organized and detail-oriented Administrative Assistant to support our team in Cordova, Tennessee. In this seasonal contract role, you will play a key part in ensuring smooth daily operations by managing client communication, maintaining documentation, and handling scheduling tasks. This position requires a proactive individual who thrives in a fast-paced environment and brings strong attention to detail to every interaction.
Job Responsibility:
Manage communication with clients, including collecting necessary documentation and responding to inquiries with attention to detail
Organize and maintain client files to ensure accurate record-keeping and easy access
Perform data entry tasks to verify and update client information with precision
Collaborate with tax preparers and administrative staff to streamline workflows and meet deadlines
Schedule client appointments and coordinate team calendars to optimize efficiency
Handle routine office tasks like scanning, filing, and organizing paperwork
Assist in maintaining structured processes that support the team during busy periods
Ensure high-quality service delivery by proactively addressing administrative needs
Support the team’s efforts to meet service standards and seasonal requirements
Requirements:
Strong attention to detail and exceptional organizational abilities to manage multiple priorities
Excellent written and verbal communication skills for effective client interactions
Ability to handle confidential documents with discretion and accuracy
Proficiency in Microsoft Office or Google Workspace, and adaptability to learn new systems
Dependable and punctual with the ability to work independently while adhering to established processes
Prior experience in an office setting, preferably in tax or financial services
Familiarity with common tax documents and knowledge of the tax preparation process
Nice to have:
Experience with tax software or document management tools is a plus
