We are looking for a dedicated Administrative Assistant to join our team on a long-term contract basis. This role offers the opportunity to support a dynamic non-profit organization in Rochester, New York. The ideal candidate will excel in managing administrative tasks, ensuring smooth office operations, and providing excellent customer service.
Job Responsibility:
Handle incoming calls with attention to detail, directing inquiries to the appropriate departments or individuals
Perform data entry tasks with accuracy and efficiency to maintain updated records
Provide general administrative support, including managing schedules, preparing documents, and organizing meetings
Greet visitors and ensure a welcoming and detail-oriented front-desk experience
Maintain office supplies and coordinate inventory replenishments as needed
Assist in preparing reports, presentations, and other materials for organizational needs
Organize and maintain both physical and digital filing systems to ensure easy access to information
Support the team with ad hoc administrative tasks to ensure smooth operations
Collaborate with colleagues to improve office processes and streamline workflows
Requirements:
Proven experience in administrative support or a similar role
Strong proficiency in data entry and familiarity with office software, such as Microsoft Office Suite
Excellent communication skills, both verbal and written, with the ability to handle inquiries professionally
Exceptional organizational skills and attention to detail
Ability to multitask and prioritize tasks effectively in a fast-paced environment
Customer service experience, particularly in a receptionist or front-desk role, is highly desirable
Familiarity with maintaining filing systems and managing office supplies
High school diploma or equivalent
