We are looking for an experienced Administrative Assistant to support daily office operations in West Palm Beach, Florida. Job Responsibility
Welcome visitors and create a detail-oriented, friendly front-office experience for guests and staff
Manage a multi-line phone system by answering incoming calls promptly, directing inquiries, and taking accurate messages when needed
Provide day-to-day administrative assistance such as handling correspondence, organizing documents, and supporting general office workflow
Sort and distribute incoming mail to the appropriate team members in a timely manner
Maintain orderly reception and common office areas to reflect a well-organized business environment
Coordinate multiple tasks throughout the day while adjusting priorities to meet office needs
Use Microsoft Office applications to prepare documents, update records, and support routine reporting or communication needs
Requirements
Previous experience in an administrative, receptionist, or office support role requiring strong attention to detail is preferred
Ability to manage a multi-line phone system with confidence and professionalism
Strong customer service skills with the ability to interact courteously with visitors, clients, and internal staff
Proven ability to stay organized, handle several responsibilities at once, and meet daily office demands
Working knowledge of Microsoft Office applications, including Word, Outlook, and Excel
Clear verbal and written communication skills with strong attention to detail
Dependable demeanor and a consistent approach to punctuality and follow-through
