We are looking for a highly organized and dependable Administrative Assistant to join our team in Aliso Viejo, California. In this Contract to permanent position, you will play a key role in ensuring smooth daily operations by managing essential administrative tasks and supporting scheduling needs. This role is ideal for someone with excellent attention to detail and strong multitasking abilities.
Job Responsibility:
Organize and maintain digital and physical documents through scanning and uploading
Manage calendars and coordinate schedules for both yourself and an additional team member
Answer inbound calls and provide attentive and courteous assistance
Perform data entry tasks with accuracy and efficiency
Handle receptionist duties, such as greeting visitors and managing incoming communications
Support administrative office operations by maintaining organization and prioritizing tasks
Collaborate with team members to ensure deadlines and goals are met
Requirements:
Proven experience in administrative assistance or a similar role
Proficiency in managing calendars and scheduling appointments
Strong skills in data entry and document management
Ability to handle receptionist responsibilities with professionalism
Excellent communication skills, both verbal and written
High level of organizational skills and attention to detail
Capability to multitask and prioritize effectively in a fast-paced environment
