Job Description

We are hiring an Administrative Assistant with a strong Technology and Operations background. This is an excellent role for someone who enjoys a variety of responsibilities. Prior experience in administration and first level technical support is required.

Job Responsibility

  • Provide first-level end-user support across core systems, with a strong focus on Microsoft platforms such as Outlook, Teams, SharePoint, and CRM tools
  • Coordinate user onboarding, offboarding, and system changes, including access management, licensing, and invoice tracking
  • Support office technology including phone systems, printers, and AV equipment, liaising with external vendors for setup, maintenance, and issue resolution
  • Contribute to system upgrades by participating in testing and implementation activities
  • Maintain accurate records and ensure compliance with applicable electronic communication regulations
  • Perform data administration tasks such as reporting, data extraction, cleansing, and reconciliation across multiple internal systems
  • Assist with front desk coverage as needed, supporting reception during absences and peak periods
  • Develop and maintain internal documentation, including procedures and process updates
  • Take meeting notes and track action items to support team follow-ups
  • Support various operational, administrative, and project-related initiatives as required

Requirements

  • Minimum 2 years of administrative experience in a professional environment
  • 1–2 years of experience providing first-level technical support, acting as a key point of contact for internal users
  • Strong organizational skills with the ability to manage competing priorities in a fast-paced setting
  • Effective written and verbal communication skills
  • Comfortable working both independently and collaboratively within a team
  • Proficiency in Microsoft Office applications, including Excel and PowerPoint

Nice to have

  • Exposure to Microsoft 365 administration tools (e.g., Entra, Intune, Teams) is considered an asset
  • Basic knowledge of cloud platforms such as Microsoft Azure is an asset
  • Experience with reporting or data visualization tools (e.g., Power BI) is an asset
