Job Description

We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to support the daily operations of a busy manufacturing facility. This position serves as a key administrative resource for plant operations, employee support, payroll processing, compliance activities, and front-office administration. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and the ability to effectively manage multiple priorities in a fast-paced environment.

Job Responsibility

  • Serve as the primary front office contact for administrative support activities
  • Answer and direct incoming phone calls professionally and efficiently
  • Welcome visitors, vendors, and customers while providing excellent customer service
  • Receive, sort, and distribute incoming mail and correspondence
  • Manage hourly employee timekeeping records to support payroll processing
  • Track attendance and assist with payroll-related administrative functions
  • Distribute payroll checks to employees as needed
  • Process daily retail sales transactions and invoicing activities
  • Organize, scan, and maintain documentation for audits, compliance initiatives, and accounting processes
  • Support ongoing records management and file organization projects, including document preparation for off-site storage
  • Administer plant badge access requests and maintain access control records
  • Conduct badge audits and ensure access information remains accurate and up to date
  • Assist with special projects and perform additional administrative duties as assigned

Requirements

  • High School Diploma or GED required
  • Minimum of 2 years of administrative experience required
  • Proficiency with Microsoft Office Suite, including Excel
  • Strong organizational, multitasking, and problem-solving abilities
  • Excellent verbal and written communication skills
  • Professional customer service and interpersonal skills
  • Ability to work independently and manage competing priorities
  • Manufacturing or production environment experience preferred
  • Previous payroll or employee timekeeping experience is a plus
  • Experience with ERP systems such as M3, Workbrain, or Power BI is preferred but not required
