Position Summary: Provides various office and location support activities. Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the businesses or functions to which the support is being provided; ensures the correct functioning of facilities, office, and/or business support services. We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to a team of attorneys, paralegals, and senior executives. This onsite/hybrid role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced legal environment.
Job Responsibility:
Provide direct administrative support to attorneys and leaders, including calendar management, travel arrangements, and expense reporting
Prepare, proofread, and format legal documents, correspondence, and presentations with a high degree of accuracy
Coordinate and schedule internal and external meetings, depositions, hearings, and interviews
Liaise with internal departments and external counsel to facilitate communication and information sharing
Support executives with confidential administrative tasks, including meeting preparation, document review, and project coordination
Handle sensitive information with the utmost confidentiality and professionalism
Requirements:
Minimum of 3 years of experience in a legal administrative or executive assistant role
Strong knowledge of legal terminology, procedures, and documentation
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal document management systems
Excellent organizational, communication, and interpersonal skills
Ability to work independently and collaboratively in a team-oriented environment
High level of discretion and judgment in handling confidential information
Maintain and organize legal files, both physical and electronic, ensuring compliance with document retention policies
Assist with the preparation and filing of legal documents with courts and administrative agencies
Track deadlines and manage case-related timelines, ensuring timely follow-up and completion of tasks
Bachelor's Degree or Equivalent Work Experience
