Job Description

We are looking for an Administrative Assistant to support legal and administrative operations for a local non-profit organization. This contract-to-hire opportunity is ideal for someone who can balance clerical duties, client-facing communication, and document management in a fast-paced work environment. The person in this role will help keep daily workflows organized while providing responsive support to internal staff and individuals seeking assistance.

Job Responsibility

  • Support attorneys, paralegals, and leadership with day-to-day administrative tasks across multiple practice areas and teams
  • Draft, format, and proofread letters, notices, and other written materials with a high standard of accuracy
  • Sort and distribute incoming correspondence, identify urgent deadlines, and ensure time-sensitive items reach the appropriate staff promptly
  • Monitor office supply levels, place replenishment requests, and help maintain orderly shared workspaces
  • Arrange business travel and lodging as needed for team members
  • Organize client records and case documentation in alignment with established file retention and records procedures
  • Enter and update information in the case management system, including setting up new matters and closing files when appropriate
  • Answer calls, respond to routine questions, coordinate appointments, and provide backup coverage for front-desk or intake functions when needed
  • Interact with clients in a respectful, compassionate, and culturally aware manner while maintaining a welcoming office environment
  • Safeguard sensitive client and organizational information by following strict confidentiality standards at all times

Requirements

  • Demonstrated experience in administrative, clerical, or office support roles
  • Strong keyboarding and data entry skills with careful attention to detail
  • Excellent written communication skills, including spelling, grammar, and proofreading ability
  • Proficiency with Microsoft Office applications such as Word, Excel, Outlook, SharePoint, and Teams
  • Ability to manage competing priorities and remain organized while supporting multiple stakeholders
  • Strong customer service and interpersonal skills, with the ability to communicate effectively with diverse populations
  • High degree of professionalism, discretion, and sound judgment when handling confidential information
  • Experience in legal, nonprofit, or social services environments, bilingual ability such as Spanish, or familiarity with case management platforms is preferred
