Job Description:

Performs a broad range of administrative and operational support duties to assist a Manager, Director, or team. This entry-level but essential role ensures smooth day-to-day departmental operations by coordinating logistics, managing communications, and supporting key business processes. The Administrative Assistant demonstrates accuracy, professionalism, and initiative to foster team efficiency and a productive workplace environment.

Job Responsibility:

  • Seve as the first point of contact for office-related inquiries, supplies and facilities issues, engaging third-party suppliers as needed. Greet and assist on-site guests
  • Oversee office vendors, ensuring adherence to scope of work and escalating maintenance issues to building management. Communicate effectively with building management to coordinate vendor access, loading dock reservations and freight deliveries
  • Participate in planning and executing company and Government Affairs events in collaboration with the GA executive assistants
  • Provide administrative support to multiple departments in the DC office including Government Affairs, Legal and T-Mobile for Business. Troubleshoot IT and AV issues (e.g., Webex, video conferencing) in the absence of IT support
  • Support employee onboarding and offboarding logistics, including access badges, workspace setup and IT coordination
  • Maintain inventory and detailed cost tracking for office supplies, beverages and snacks
  • Facilitate internal DC office communications and ensure consistent execution of operational protocols. Create, proofreads, and updates documents, spreadsheets, and presentations using Microsoft Office Suite
  • Lead the DC office emergency response team and plan safety drills
  • Manage all aspects of conference room logistics, including scheduling, setup, AV preparation, catering coordination and post-meeting cleanup
  • Also responsible for other Duties/Projects as assigned by business management as needed

Requirements:

  • 2-4 years of experience in a similar role with administrative support in professional office setting
  • Comfortable with constant change, including frequently shifting calendars
  • Ability to manage competing priorities with grace, while displaying a professional demeanor
  • Demonstrates extreme flexibility and willingness to serve on call
  • Well-developed social skills, intelligent, clear-thinking, resourceful
  • Demonstrates expert ability to proactively prioritize, plan, schedule and organize multiple projects simultaneously
  • Emotional maturity: respects others’ point of view and is in control of emotions. Skilled in conflict resolution
  • Adept at using a variety of mobile communication devices including tablets. Highly proficient in the use of texting and instant messaging. Advanced knowledge and use of MS Office (Word, Excel and Outlook). Intermediate PowerPoint skills
  • Demonstrates expert level understanding of correct grammar and is able to fluently convey complex issues in written correspondence
  • High level of interpersonal skills and emotional intelligence
  • Works across multiple US time zones - Eastern to Pacific
