We are looking for a detail-oriented Administrative Assistant/Executive Assistant to join our team in Cincinnati, Ohio. In this long-term contract role, you will play a pivotal part in supporting office operations and property management activities. The ideal candidate will bring strong organizational skills, a customer-focused approach, and the ability to ensure compliance with established policies and procedures.
Job Responsibility:
Organize and coordinate meetings, events, and schedules to ensure smooth operations
Prepare and manage bid proposals, service contracts, and invoices while assisting with compliance in property management processes
Review and code invoices for approval by the Property Manager to maintain accurate financial records
Oversee office supply inventory to ensure the office remains stocked and operational
Maintain contract administration systems, including tracking and filing contracts and certificates of insurance
Monitor property maintenance work orders and generate monthly status reports for the Property Manager
Administer the property purchase order system and maintain lease and contract files
Foster positive tenant and client relationships while tracking and addressing service calls
Assist in preparing monthly, quarterly, and annual management reports, including budget documentation
Process tenant bill-back invoices, staff hours, and check requests while ensuring accuracy and compliance
Requirements:
Proven experience in administrative roles, preferably within property management or office settings
Strong customer service skills with the ability to build positive relationships
Proficiency in Microsoft Office Suite and familiarity with contract administration software
Knowledge of accounts payable processes, including invoice coding and review
Exceptional organizational skills to manage files, reports, and property systems effectively
Ability to monitor and track work orders, contracts, and insurance certificates
Solid understanding of budgeting and report preparation
Effective communication skills, both written and verbal, to handle correspondence and tenant interactions
