Job Description:

We are looking for a detail-oriented Administrative Assistant/Executive Assistant to join our team in Cincinnati, Ohio. In this long-term contract role, you will play a pivotal part in supporting office operations and property management activities. The ideal candidate will bring strong organizational skills, a customer-focused approach, and the ability to ensure compliance with established policies and procedures.

Job Responsibility:

  • Organize and coordinate meetings, events, and schedules to ensure smooth operations
  • Prepare and manage bid proposals, service contracts, and invoices while assisting with compliance in property management processes
  • Review and code invoices for approval by the Property Manager to maintain accurate financial records
  • Oversee office supply inventory to ensure the office remains stocked and operational
  • Maintain contract administration systems, including tracking and filing contracts and certificates of insurance
  • Monitor property maintenance work orders and generate monthly status reports for the Property Manager
  • Administer the property purchase order system and maintain lease and contract files
  • Foster positive tenant and client relationships while tracking and addressing service calls
  • Assist in preparing monthly, quarterly, and annual management reports, including budget documentation
  • Process tenant bill-back invoices, staff hours, and check requests while ensuring accuracy and compliance

Requirements:

  • Proven experience in administrative roles, preferably within property management or office settings
  • Strong customer service skills with the ability to build positive relationships
  • Proficiency in Microsoft Office Suite and familiarity with contract administration software
  • Knowledge of accounts payable processes, including invoice coding and review
  • Exceptional organizational skills to manage files, reports, and property systems effectively
