We are looking for an experienced Administrative Assistant with a strong background in construction projects to join our team in Centerville, Utah. In this contract role, you will play a pivotal part in managing administrative tasks and supporting daily operations to ensure the smooth execution of commercial construction projects. Your organizational skills and attention to detail will be key to handling various responsibilities in this dynamic environment.

Job Responsibility

  • Organize and maintain schedules, ensuring seamless calendar management for meetings, events, and deadlines
  • Coordinate travel arrangements, including booking flights and accommodations, for team members when required
  • Prepare and compile essential documents such as bid proposals, contracts, and business review materials
  • Support communication efforts by scheduling and facilitating conference calls with stakeholders
  • Manage import and export documentation with accuracy and attention to compliance requirements
  • Assist in the preparation and handling of construction-related documents essential for project execution
  • Provide administrative support to ensure smooth day-to-day operations within the construction sector
  • Collaborate with team members to ensure timely completion of commercial construction project deliverables
  • Handle contract documentation and ensure proper filing and tracking of agreements
  • Maintain a detailed record of project timelines and milestones to support effective project management

Requirements

  • Proven experience in administrative roles, preferably in the construction industry
  • Strong proficiency in calendar management and scheduling
  • Skilled in preparing and organizing bid documents, contracts, and business review reports
  • Familiarity with import/export documentation processes
  • Ability to manage and facilitate conference calls and team communications
  • Knowledge of construction-related documents and processes
  • Detail-oriented with excellent organizational and multitasking abilities
  • Proficiency in using office software and tools for documentation and communication
