IMS is currently searching for a professional, compassionate and knowledgeable individual to fill the position of Administrative Assistant for our Cardiology Clinic in Avondale. The Administrative Assistant will be responsible for providing administrative support to leadership and cardiology staff as needed. Ensures the office is running smoothly by assisting individual departments with special projects and oversees general administrative tasks within the office. Instills the IMS mission, vision and values in the work performed.
Job Responsibility:
Answers all incoming calls and routes them to the appropriate staff and department
Greets all guests and ensures visitors to the CBO are directed accordingly
Coordinates meeting needs for the CBO including scheduling conference rooms, coordinating with vendors, sending invites, tracking responses, assisting with presentation materials, placing food orders
Assists departments with document preparation, staff activities and/or other tasks
Assists with office layout planning and office moves, coordinating with IT
Responsible for all incoming and outgoing mail including scanning and emailing inbound mail to remote staff
assists with shipping packages
Monitors office supplies and breakroom inventory
orders new supplies
maintains Amazon account
Assists with corporate office special projects
Oversees office maintenance
submits tickets to building management
Assists Executive Assistant with reports, arrangements, event planning
Ensures office doors are locked/unlocked at opening and closing
Coordinates interview schedules for provider candidates
sends invites
assists with expense reimbursement
Maintains Corporate directory
Organizes and maintains accurate records
ensures security, integrity, confidentiality of data
Leads project management duties as directed
Develops, plans, and executes office events
Responsible for overall cleanliness of the office
Assists in care and maintenance of office equipment
Performs other duties as assigned
Requirements:
High School diploma or equivalent
Prior experience as an Administrative Assistant preferred
Some College preferred
Excellent customer service and communication skills
Ability to plan, coordinate and organize administrative tasks and workflow
Excellent communication skills
ability to take initiative
work well with an established team
Excellent organizational skills
Attention to detail
Computer skills using Microsoft Office Suite (Word, Excel, Power Point, Outlook)
