We are seeking an Administrative Assistant to become a pivotal part of a dynamic team, where your organizational prowess and administrative expertise will directly support key initiatives and ensure the smooth functioning of essential departments. This is a 15-month hybrid engagement in Beaverton, OR. Job Responsibility

  • Perform essential office functions, including setting up and maintaining comprehensive filing systems
  • Manage communications by interviewing callers, making appropriate referrals, and handling incoming correspondence
  • Coordinate and arrange meetings and conferences, ensuring all logistical details are meticulously handled
  • Review and refine drafts and finished documents for grammatical accuracy and adherence to established guidelines
  • Serve as a primary point of contact for inquiries related to office operations, policies, and procedures
  • Gather, compile, and report on critical information to support supervisor assignments and decision-making
  • Prepare and process expense reports and purchase orders, and maintain optimal office supply levels
  • Update organizational charts and coordinate department or equipment moves with precision
  • Respond tactfully and promptly to inquiries and problems, handling confidential information with the utmost discretion
  • Coordinate a full range of meeting, event, and travel arrangements, meticulously managing calendars
  • Collaborate with internal and external contacts for venue selection, room setup, catering, and materials delivery
  • Utilize an on-line reservation system to ensure adherence to travel policies and provide cost-effective travel solutions
  • Work with travel agents, airlines, and other vendors to resolve planning and customer service issues

Requirements

  • Bachelor’s Degree and a minimum of 5 years of directly relevant work experience
  • Alternatively, one of the following may be accepted: PhD or Law degree with 3 years of experience
  • Master’s degree with 4 years of experience
  • Associate’s degree with 6 years of experience
  • High School Diploma with 7 years of experience
  • Proven ability to manage multiple tasks and priorities in a fast-paced environment
  • Exceptional organizational skills and meticulous attention to detail
  • Strong verbal and written communication skills, with a professional and engaging demeanor
  • Demonstrated ability to handle confidential information with integrity and discretion
  • Proficiency in utilizing computer skills for presentations, reporting, and general office functions
