In this essential position, you will be the strategic backbone, ensuring operational clarity, optimizing workflows, and safeguarding critical production timelines. Your contributions will directly impact the successful evolution of renowned entertainment franchises, bringing captivating experiences to millions worldwide.

Job Responsibility:

  • Strategic Calendar Management: Architect and optimize a senior leader’s calendar, aligning time with production priorities, managing milestone gates, sprint reviews, partner reviews, and cross-functional syncs. Proactively anticipate critical junctures like vendor dependencies and integration pressures
  • Meeting & Milestone Facilitation: Structure and support milestone reviews, consolidate materials, capture decisions, and track action items across creative, engineering, and production leadership. Manage pre-read distribution and follow-through on execution forums
  • Cross-Functional Coordination: Partner with production, business operations, and operational teams to maintain clarity across diverse workstreams. Coordinate vendor and external development touchpoints and support integration with central teams
  • Operational Excellence: Maintain distribution lists, manage communications routing for production forums, track offsites, production summits, and milestone events. Oversee travel arrangements and high-visibility engagements related to production reviews
  • Risk & Signal Awareness: Proactively identify and surface conflicts, duplication, or meeting sprawl that could dilute delivery focus. Escalate issues discreetly and appropriately, protecting the senior leader’s bandwidth during critical production phases

Requirements:

  • 5 to 8+ years of experience supporting Director or Sr. Director-level leaders in complex organizations
  • Strong understanding of milestone-based development cycles
  • Exceptional prioritization and organizational judgment
  • High confidentiality and emotional intelligence
  • Ability to operate independently in ambiguous and deadline-driven environments
  • Equipment or Software Required: Provided by the client
  • Daily Schedule: Monday – Friday, 40 hours standard core hours
