Job Responsibility

  • Manage complex calendars and schedules for senior leadership, anticipating conflicts and proactively resolving issues
  • Coordinate comprehensive travel arrangements, including itineraries and logistics
  • Plan and execute meetings and events, ensuring all necessary resources and preparations are in place
  • Support department financial and personnel operations, including processing expenses and assisting with onboarding/offboarding processes
  • Manage facility operations, ensuring a well-organized and functional work environment
  • Order hardware, peripherals, and other necessary supplies for the team
  • Lead and participate in special projects as assigned, demonstrating initiative and problem-solving skills
  • Actively participate in centralized events, such as morale-building activities and conferences

Requirements

  • Minimum of 18 months of relevant professional experience in an administrative support role
  • Proven ability to manage complex calendars, especially for senior leadership
  • Exceptional attention to detail and strong organizational skills
  • Proactive approach to anticipating needs and taking initiative without explicit direction
  • Strong written and verbal communication skills, with the ability to effectively interact with diverse stakeholders and draft professional correspondence
  • Demonstrated ability to thrive in a fast-paced, dynamic environment, adapting quickly to changing priorities
  • Experience coordinating events, meetings, or team logistics
  • Ability to work independently and anticipate business needs

Nice to have

  • Previous experience with a large technology company
  • Familiarity with standard business tools and internal systems (e.g., expense, travel, procurement)
  • A background in customer service is highly valued
