Opportunity: Administrative Assistant – Federal Government Contractor Opportunity Overview SD Solutions seeks an Administrative Assistant to join our team in support of a project with the Department of Homeland Security – U.S. Customs and Border Protection – Program Management Office (PMO). The Administrative Assistant support to the DHS CBP BPAM PMO. This is a demanding, fast-paced role. The position is in Indianapolis, IN. Currently the position is 80-100% telework.

Job Responsibility

  • Provides high level executive support by managing calendars and day-to-day routine
  • Heavy scheduling, maintains schedule to accommodate unexpected meetings, visitors and any last-minute changes to daily schedule
  • Disseminates 'taskers' rapidly, in a timely manner as they are received, to those who are responsible for completing the taskers
  • Performs several administrative duties for the Office of Acquisition Operations to include scheduling, controls, deliverables, time and attendance, reservations, calendar maintenance, and mail
  • Facilitates and coordinates with Management Team for all Management meetings, team meetings and prepares presentations/meeting materials, takes meeting minutes and circulates to team as action items for completion
  • Coordinates weekly reports, perform ad hoc projects/taskers, edits and compiles for PMO leadership
  • Maintains/updates division telework and alternate work schedules
  • Reserves Meeting Space, conference rooms/conference bridge lines for various meetings
  • Follows up and tracks all contract deliverables and compiles needed responses into spreadsheets

Requirements

  • 3+ years of experience
  • preferably supporting medium to large teams and performing administrative duties
  • Bachelors' Degree or equivalent years of experience is preferred
  • Ability to work well with teammates in a very fast-paced environment
  • Good analytical ability
  • Proactive and detail oriented
  • Able to quickly learn client environment/key stakeholders and understand the larger PMO support work
  • Ability to build and maintain meaningful client relationships
  • Excellent communication skills, both orally and written
  • Excellent customer service skills
  • Experience and solid working knowledge of Microsoft Office suite
  • Must be able to pass a stringent background investigation
