Job Description

EXAMPLES OF DUTIES: Provides administrative support to the Building Department and Conservation Commission, including managing permits, inspection schedules, records, and fees. Assists residents with applications and regulatory inquiries. Prepares notices, agendas, and meeting materials; attends bi-weekly Conservation Commission meetings and takes minutes. Coordinates site walks and communication with DPW, contractors, and state agencies. Performs general office duties and provides backup support to Planning and ZBA.

Requirements

  • Associate degree in business, administrative, paralegal or related field preferred
  • Two years of relevant administrative experience or equivalent combination of education and experience required
  • Experience with Conservation Commission processes, wetlands regulations, or municipal permitting strongly preferred
  • Must have strong communication, customer service, organizational, and computer skills
  • Ability to understand and apply local and state regulations

  • Partner and communicate regularly with the Corporate Senior Director of Engineering Performance and the Corporate ESG team
  • Coordinate with other regional corporate functions such as Operations, Residence, and Finance
  • Participate in structured quarterly regional engineering performance reviews
  • Align regional execution with global engineering and sustainability strategy
  • Partner with the General Manager, Residence Manager, Property Engineering, and Operations team to establish the necessary procedures and standards, improve operational efficiencies, implement conservation measures, reduce utility costs, and track progress against engineering and ESG established goals
  • Review Residence asset reserve studies and coordinate compliance
  • Review property operation and maintenance documentation, records, permits, and drawings for compliance with the Four Seasons (FS) Engineering policies and procedures, local building codes, contingency plans, and local environmental regulations

  • Optimize the repair and maintenance of HVAC, electrical, and plumbing systems and their components. Utilize and help contribute to Best Practices for optimal troubleshooting, maintenance, and repair of all building systems
  • Strong plumbing knowledge, such as installation, adjustment, and repair of restroom plumbing equipment such as faucets (manual and auto) flushometers (manual and auto), drain and trap repairs as well as the ability to cut and solder piping as well as use compression fittings (manual and auto)
  • Coordinate the procurement of and maintain inventories of necessary parts, supplies, and equipment from approved vendors. This may include looking up, placing orders and tracking invoices with the use of the purchase order system. Assist junior engineers to become proficient in this process
  • Perform daily inspections, safety checks, and routine maintenance duties
  • Perform miscellaneous tasks assigned by supervisor or their delegate
