The shared professional support team for the School of Psychological Sciences, School of Pharmacy & Pharmacology and Social Work is looking for a detail-oriented Administration Officer/Clinical Receptionist to join their team. As our new Administration Officer, you will provide high-quality administrative support with a strong focus on contributing efficient and responsive processes to support the day-to-day operations of all academic units. You will also provide Clinic Reception duties to our Psychology Clinic during times of absence where you will greet clients, responding sensitively to queries from staff, clients, and members of the public. Working across both Inveresk and Newnham campus, this role is best suited to someone who likes to work in a fast paced, high-volume environment delivering critical, day-to-day service-related administrative support. You will be a people person and will happily build effective relationships with internal and external stakeholders to support the full range of administrative responsibilities.
Job Responsibility:
Undertake a broad range of teaching and learning operational activities which may include timetabling and scheduling
orientation
student intake support
exams and results, and OSCES (Objective Structured Clinical Examinations)
Provide Clinic reception support during times of absence to ensure a high level of customer service is provided to Clinic clients and students
Provide general support to the post graduate student placement team with setting up placement meetings and maintaining databases
Support the service requirements of the academic units in a consistent manner by contributing to the development and implementation of Standard Operating Procedures
Actively contribute to a culture of continuous improvement through annual review cycles, by identifying and implementing opportunities for self, team and process improvement
Requirements:
Completion of a Certificate IV/Diploma level qualification, or an equivalent combination of relevant experience and/or education and training
Demonstrated administrative skills including experience with a range of software applications, including email, spreadsheet database, presentation software, and the internet as a resource
Demonstrated commitment to customer service excellence and proactively contribute to the continuous improvement of systems, processes, and procedures
Proven ability to work in a collaborative team environment and demonstrated capacity to act independently within established guidelines, exercising sound judgement and discretion whilst respecting confidentiality
Effective interpersonal, resilience, communication and influencing skills with a positive attitude and a willingness to communicate effectively with a broad range of people
Exceptional organisational skills with strong attention to detail and a demonstrated ability to prioritise and complete tasks within defined deadlines
