We have an exciting opportunity for an Administration Coordinator to join one of Australia's leading audio production companies, based in Yarraville, Victoria. This is an ideal role for a highly organised and motivated person looking to build a career in the live entertainment industry. Supporting the Administration & Operations Manager and wider Operations team, you'll assist with crew scheduling, travel coordination, and day-to-day administration helping us deliver successful live events and touring projects. You'll work closely with crew and internal teams, and liaise with clients, becoming a valued part of the production process from planning through to delivery. Job Responsibility
Act as the first point of contact for the office, handling day-to-day communications with internal staff, external contractors, suppliers and production clientele
Manage daily administrative tasks including coordinating office supplies and stock levels, raising purchase orders and client invoices, supporting staff meetings and internal events, arranging external training, and providing general office support
Assist with providing WHS administration support across live productions by preparing and providing SWMS documentation and assisting with venue induction setup and processing
Coordinate travel and accommodation arrangements for crew as required
Requirements
Minimum 2 years’ experience in administration, or a similar role
Proficient in the use of Microsoft Office Suite, and other software/systems
Strong organisational and interpersonal skills, with the ability to work effectively within a team environment, use initiative, manage multiple tasks, maintain attention to detail, and demonstrate a positive work ethic and willingness to learn new systems
Nice to have
Knowledge of and/or experience in the professional audio and live sound production industry, either in theatre or the concert touring industry is highly desirable
Prior rostering and scheduling experience would be considered a strong advantage
