We’re looking for a highly organised and proactive Administration Assistant to support VSSS site operations during a busy period of delivery. This role is designed to remove routine administrative workload from senior team members, enabling them to focus on operational performance and programme delivery. You’ll be at the centre of site coordination — supporting visitors and contractors, managing travel and meetings, maintaining accurate records, and ensuring the smooth day-to-day running of site business support activity.
Job Responsibility:
Provide proactive administrative and coordination support across VSSS site operations
Act as a first point of contact for administrative queries
Coordinate visitor and contractor bookings in line with site processes
Manage meeting logistics and diary coordination
Take minutes and maintain clear actions logs
Arrange travel and accommodation in line with approval processes
Support expense submissions and tracking
Provide basic purchasing administration including requisitions, PO requests and delivery tracking
Requirements:
Demonstrable experience in an administration or office support role within a busy environment
Strong IT capability including Microsoft Outlook, Word and Excel, with confidence learning new systems
Excellent written and verbal communication skills
High attention to detail and strong organisational ability
Ability to handle confidential and sensitive information with discretion
Nice to have:
Experience working within an operational or site-based environment (e.g. engineering, manufacturing or defence)
Experience coordinating travel, expenses, purchasing or invoice administration
Experience taking minutes and maintaining action logs
Familiarity with Teams, SharePoint or supporting internal communications activity
