Job Description:

An exciting opportunity has arisen for the position of Administration Team lead. The established team of administrators will be supported and guided by the post-holder and the post-holder will co-ordinate and supervise a team of different grades of administrators working within the core Administration Team at NHS Talking Therapies.

Job Responsibility:

  • Co-ordinate and supervise a team of different grades of administrators
  • Ensure robust supervision and operational procedures are in place
  • Take operational responsibility for the team and for the allocation of work
  • Maintain up to date knowledge of the full range of administrative and Navigo policies, processes and procedures
  • Undertake any other general administrative duties within the requirements of the Team
  • Be instrumental in the ongoing development of the electronic system and processes and pathways relative to area of service
  • Undertake any other relevant duties required from time to time as requested by Management

Requirements:

  • Educated to GCSE level grade A to C or equivalent including Mathematics and English Language
  • RSA/OCR Grade III Typing/Word Processing standard
  • Able to demonstrate knowledge, experience and training
  • Maintaining databases and spreadsheets
  • Previous NHS secretarial/ administrative experience and knowledge of hospital administration procedures
  • Previous experience at working at Secretary/Administration level with supervisory responsibilities
  • Proven ability to direct and lead staff
  • Ability to communicate at all levels
  • Excellent customer service skills with the experience and ability to deal with telephone enquiries from other Agencies, Service Users, their families and carers as well as Mental Health professionals
  • Ability to minute complex clinical meetings
  • Diary management skills
  • Proven audio typing skills
  • Confident and approachable
  • Adaptable and flexible in approach to working practice
  • Initiative and proactive approach
  • Ability to work under pressure
  • Excellent IT skills Word, Excel, Powerpoint, Publisher & Outlook
  • Active and effective team member
  • A Willingness to undertake further training as required

  • ECDL Qualification
  • Supervisory trained
  • Experience/willingness to undertake training in use of electronic systems
  • Experience of both leading and working within an administrative team
  • Knowledge of mental health services
  • Working knowledge of CPA
  • Knowledge of hospital administration
  • Systems - previous customer service role
  • Conversant with the Data Protection Act 1998
