Job Description:

We are looking for an Admin Services Associate to join our team in Bethesda, Maryland. In this role, you will provide essential administrative support to ensure smooth daily operations, including guest reception, invoice processing, and vendor management. This is a Contract position with the potential for extension or conversion based on performance.

Job Responsibility:

  • Answer and direct incoming calls professionally within the management office
  • Welcome and assist guests upon arrival, ensuring visitor protocols are adhered to
  • Review, validate, and submit invoices for approval while addressing discrepancies with relevant departments
  • Prepare and track purchase orders, ensuring accurate documentation and timely fulfillment
  • Support contract management by maintaining renewal schedules and communicating with vendors
  • Utilize Microsoft Office Suite to create and update forms, spreadsheets, and presentations
  • Maintain confidential files and databases with accuracy and attention to detail
  • Coordinate schedules and appointments to optimize productivity
  • Troubleshoot basic technical issues related to office systems and equipment
  • Collaborate with the management team to enhance operational efficiency

Requirements:

  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Strong communication and interpersonal skills for detail-oriented guest reception and vendor coordination
  • Demonstrated ability to multitask and stay organized in a fast-paced environment
  • Familiarity with general office functions, such as filing, scheduling, and database management
  • Basic understanding of invoice processing and purchase order documentation
  • Ability to troubleshoot minor technical issues with computers and office equipment
  • 0-2 years of experience in administrative roles or related fields, with property management experience preferred
  • High school diploma or equivalent education required
