Job Description

The role is pivotal in ensuring smooth daily operations by handling various administrative tasks, coordinating communication, managing documentation, and supporting the project management team.

Job Responsibility

  • Assist the Project Manager and site team with daily administrative tasks
  • Manage and maintain site office supplies, ensuring that all necessary materials are available
  • Coordinate and schedule meetings, appointments, and site visits
  • Maintain and organize project documentation, including contracts, permits, plans, and reports in coordination with the project development team for any project related permits, etc.
  • Coordinate with external local stakeholders to facilitate smooth communication and project flow
  • Assist in coordinating the delivery and distribution of materials and equipment to the construction site
  • Manage incoming and outgoing mail and deliveries
  • Handle expense reports, invoices, and petty cash usage and monitoring
  • Provide general administrative support to the construction site as required

Requirements

  • Academic degree in Business or Office Administration or any related course
  • Minimum 2 years of experience in admin related tasks, preferably in a construction or industrial setting
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time management skills
  • Good written and verbal communication abilities
  • Meticulous to detail
  • Ability to work independently and as part of a team
  • English and Ilonggo (local dialect)

Nice to have

Familiarity with construction or engineering terminology is an asset
