Job Description:

Our client, a global private equity and investment advisory firm located in Manhattan is looking for a Temporary-to-Permanent Admin Floater to join their team. This position will operate on an in-office schedule between the hours of 8:30am-4:30pm with some flexibility for overtime. Compensation is $80-90K DOE.

Job Responsibility:

  • Provide planned and unplanned coverage for EAs during vacation, illness, and peak workload
  • Manage complex calendars, scheduling, and domestic/international travel with accuracy and urgency
  • Support investor-facing meetings, communications, and confidential materials
  • Coordinate closely with various admin teams to maintain consistency and alignment
  • Handle expenses, administrative processes, and daily operational tasks with precision
  • Act as a trusted liaison to internal and external stakeholders
  • Offer ad hoc support for Front of House, reception coverage, and facilities tasks as needed
  • Track actions, decisions, and outstanding items during coverage and deliver clear handovers
  • Work with Facilities to ensure seamless guest experience, meeting room setup, catering, and VIP preparation
  • Maintain high responsiveness, commercial awareness, and strong judgment during fast-paced periods

Requirements:

  • 2-3+ years supporting senior executives
  • EA fundamentals must be strong
  • Experience within financial services, advisory, or private equity preferred but not required
  • Highly organized, calm under pressure, and able to operate autonomously with minimal hand‑holding
  • Exceptional communication skills, both written and verbal
  • Discreet, emotionally intelligent, polished, and service-oriented
  • Tech-savvy: Advanced MS Office
  • familiarity with SharePoint
  • AI tools a plus
  • Able to pivot quickly and jump into new responsibilities without hesitation
