The Admin Executive will be responsible for providing operational, administrative, visitor support and coordination support across project teams. The role ensures smooth day-to-day project execution activities, external visitors support.
Job Responsibility:
Assist in managing office space planning, seating allocation, and workspace optimization
Coordinate with vendors for facility maintenance, housekeeping, cafeteria, transport, security, and other services
Support facility inspection routines, AMC schedules, and issue resolution
Maintain asset registers, inventory logs, and facility-related documentation
Assist with new office setups, relocations, and refurbishment activities
Support implementation of EHS guidelines, safety procedures, and compliance requirements
Assist with workplace safety inspections, fire drills, and emergency preparedness activities
Help maintain safety checklists, logs, and incident records
Ensure PPE availability and EHS onboarding for new employees
Maintain up-to-date licenses, statutory documents, insurance, and compliance registers
Assist in tracking contract expiries, renewals, and vendor compliance documents
Ensure proper record-keeping for audits including real estate agreements and safety certifications
Support internal and external audit requirements through timely documentation and data submission
Support planning and execution of internal events such as townhalls, leadership visits, and engagement activities
Manage event logistics, vendor coordination, venue setup, and communication
Handle hospitality arrangements, guest coordination, and administrative support during events
Manage office supplies, stationery, courier services, and procurement tasks
Assist in budgeting and expense tracking for admin projects
Coordinate travel and hotel arrangements as needed
Provide general administrative support to leadership and teams
Requirements:
Bachelor's degree in any discipline (Business Administration preferred)
2–5 years of experience in Admin, Facility Management, Real Estate Support, EHS Coordination, or similar roles
Experience in events, vendor management, or compliance documentation is an advantage
Strong organizational and multitasking skills
Knowledge of facility operations and administrative processes
Basic understanding of EHS standards and compliance requirements
Proficiency in MS Office applications
Vendor management and coordination skills
Excellent communication and interpersonal abilities
