Job Responsibility:
Supervises and coordinates the operation of the Front Desk and Administrative offices
Supervises the assignment of rooms
pre-blocks and assigns all V.I.P. and special room requests on a daily basis
Promotes cooperation between the Front Office and all other departments
Coordinates with the Housekeeping department in all pertinent information to ensure a smooth-running operation
Controls all guests’ vouchers and accuracy of the room or guests’ folios
Aids guests with inquiries, requests, and complaints
Requisitions supplies and equipment for the Front Office/Admin and maintains a monthly inventory of supplies
Schedules all personnel in the department to include Activities
Counsels employees in the department regarding various problems
Disciplines subordinates when necessary
Assist in training new employees in the Front Office department
Coordinate all correspondence related to owners/unit usage
Able to contact and negotiate vendor agreements as directed by the General Manager
Able to assist the General Manager with all operational projects
Able to coordinate and assist General Manager with the implementation of all policies and procedures for staff
Assist in coordinating all Board related functions with General Manager
Processing owner information and request
Received phone call (email, mail) for future reservations, cancellations and confirmations
Functions as the resort exchange company coordinator
Is familiar with all rules governing the systems and the various programs available to owners
Responsible for documenting, verifying and processing money due owners through the owner rental program
Must perform multi-purpose tasking within the guidelines set forth by Capital Vacations
Complies with all Capital Vacations policies and procedures
Responsible for after hour calls relating to front office issues
Performs all other related duties and projects as assigned by the General Manager
Requirements:
High School diploma or equivalent
Minimum two (2) years Guest Services experience
Minimum one (1) year accounting related experience in Timeshare/Resort environment
Valid driver’s license required
Must have knowledge and proficiency in Microsoft Office Suite
Must have knowledge and able to use all basic office equipment
Multitask oriented, organized and able to set priorities
Excellent interpersonal skills and ability to adjust and interact with all levels of personnel
Must be able to do multi-function tasking coordinated with General Manager
Must possess excellent communicative skills, both written and oral
Must possess leadership skills
Able to manage, direct and complete assigned duties as directed by General Manager
Able to process and resolve guest service requirements
Must be able to assist, train and direct staff where necessary
Must dress professionally
