Job Responsibility

  • Compile FRs for ILC meeting and make a list of email ids (approx. 180 email id's)
  • Coordinate for Hotel booking and logistics for all visitors during their visit to KIL
  • Coordinate for Seminars / Trainings in KIL during international visitors visit to India
  • Coordinate with international visitors for their Visa invite letters, schedules, hotels, logistics, meetings during their visit to KIL to ensure smooth visit
  • Organize accommodations and logistics for Directors – communication with cab agency
  • Coordinate for beverages/snacks, arrangement of lunch etc. during all meetings
  • Coordinate for Subscription fees for CII, ICTMA, IMA, IMTMA with Finance Dept. Also, coordinate to submit Director forms on time to these external organizations
  • Arranging for payment of Hotel bills after major Company events, Dinners, accommodations of company employees, Directors etc.
  • Coordinate with external organizations where we are sponsoring any Annual event – fee coordination, any marketing materials / Company related information etc.
  • Coordinating with external agencies like CII, IMTMA, ICTMA, etc., for programs to be attended, communicate and confirm, arrange for fee if applicable for KIL Sr.Management team and send out calendar invites to the participants attending the meetings
  • Coordinate for CII programs / trainings to be conducted at KIL
  • Prepare Draft CSR points for Annual report
  • Any other Admin related jobs which may arise due to the Refurbishment of Corporate Office project as well
  • Scan visiting cards and update database
  • Prepare invite letters for visitors (coordinate with me for preparing), KKC programs
  • Travel desk – update and send monthly database for updation in EBIX portal
  • Follow up to get periodic reports from NGOs and the beneficiaries of our CSR funds, to ensure the CSR funds are utilized appropriately for the right cause
  • Coordinate for CSR activities / events involving volunteers and employees from across Departments in Company sponsored CSR activities
  • Send calendar invites to employees on CSR activities. Coordinate on number of employees attending & arrange logistics for the volunteers to attend CSR events
  • Coordinate with Marcom for CSR related activities for printing Boards / Banners / Certificates
  • Ensure CSR documentation like 80G receipts and Fund Utilization Certificates are collected from NGOs for all our projects before end of every Financial Year
