The Activity Manager is responsible for the planning, organization, and execution of a high-quality activity programme for students. This includes training, inspiring, and leading the Activity Leaders to ensure the delivery of exceptional experiences. Additionally, the Activity Manager oversees the safe and efficient coordination of logistics for off-site excursions.
Job Responsibility:
Promote and safeguard the welfare of all students under your care and those you interact with
Inspire, manage, and lead a team committed to students' development and welfare
Maintain the highest standards of Health & Safety, safeguarding, and HR practices within the Centre
Ensure the activity programme operates within pre-determined budgets and take responsibility for the timely and accurate submission of all administration
Maximise student and group leader satisfaction by ensuring their experience meets or exceeds expectations
Review numbers of students and staff for activities, updating coach splits after receiving the coach bookings from Head Office
Prepare and update programmes as changes are requested
Keep record of activities and subsequent changes, ensuring these are made available to Head Office
Promote optional activities, manage optional trip costings, sales and advertising
Assist in the completion of weekly and daily working rotas for Activity staff with the rest of the management team
Hold regular meetings with Group Leaders (including the Group Leader induction process), with management and staff
Induct and train Activity staff in Best Practices that facilitates the high-quality delivery of all activities, extending to their ongoing training, pre-trip briefings, performance observations and appraisals
Work with the Welfare Manager to ensure risk assessments are comprehensive and control measures are being implemented by frontline staff on activities
Assist with student arrival and departures at Centre as needed and requested by the Centre Manager
Support other managers and carry out other operational/campus duties as assigned or requested by the Centre Manager
Requirements:
Degree-level education or equivalent (or currently pursuing)
Valid First Aid Certificate (desirable)
Safeguarding Level 1 and 2 (desirable – if not in possession, Embassy Summer will provide the necessary courses upon successful selection)
Proven experience in roles involving logistics, organization, or travel
Proficiency in IT systems, including Outlook and MS Office (especially Excel)
Demonstrated ability to lead a team effectively
Must be eligible to work in the EU
Commitment to safeguarding the welfare of children and young people
All CV gaps must be satisfactorily explained
Proof of identity and qualifications (if applicable) required
Clear Criminal Record Check and references must be provided before signing the contract
Fluent in written and spoken English
Nice to have:
Previous experience working with juniors
Experience managing a summer school environment
Knowledge of Malta
Knowledge of any other languages is considered advantageous
