Job Description

The Accounts Receivable (AR) Specialist is responsible for managing and optimizing the company’s receivables process using Oracle NetSuite. This role focuses on ensuring timely and accurate invoicing, payment collection, account reconciliation, and supporting overall cash flow and financial reporting. The AR Specialist collaborates across departments to resolve discrepancies and deliver exceptional service to clients and internal stakeholders.

Job Responsibility

  • Generate, issue, and track customer invoices within NetSuite, ensuring accurate coding and compliance with company procedures
  • Monitor receivable balances, follow up on outstanding payments, and maintain regular communication with clients regarding account status
  • Process incoming payments (ACH, wire, check, credit card) and record transactions accurately in NetSuite
  • Reconcile accounts receivable ledger and resolve discrepancies, ensuring accounts are current and properly documented
  • Prepare aging reports and assist with cash forecasting by analyzing receivables trends and outstanding balances
  • Maintain and update customer records in NetSuite, ensuring data accuracy
  • Support month-end close processes related to AR, including reconciliations and reporting
  • Collaborate with sales, operations, and finance teams to resolve invoicing or payment issues
  • Assist with audit requests and provide necessary documentation related to AR activities.

Requirements

  • 2+ years of accounts receivable experience
  • hands-on experience with NetSuite required. Knowledge of general accounting principles and AR best practices. Proficiency in Microsoft Excel and strong attention to detail. Excellent interpersonal and communication skills
  • ability to resolve issues professionally with clients and internal teams. Strong organizational and problem-solving skills
  • ability to prioritize workload in a fast-paced environment. Experience with reconciliation and supporting month-end close preferred.

  • Prepare customer invoices for spare parts, repairs, warranty work, service activity, and project-related orders, including deposits and final revenue billings
  • Generate export shipping invoices with the required customs details for international deliveries and submit invoices through customer billing portals when applicable
  • Apply customer payments, post cash receipts, process credit card transactions, and complete daily bank reconciliations to maintain accurate cash records
  • Track open balances, follow up on commercial collections, gather payment status updates, and recommend account restrictions when risk or delinquency concerns arise
  • Work closely with project sales and aftermarket teams to investigate and resolve billing discrepancies, payment issues, and customer account questions
  • Review customer credit information, support recommendations for payment terms and credit limits, and maintain documentation related to bankruptcies, tax forms, and new customer setup
  • Support financial reporting by preparing weekly cash receipt forecasts, issuing credit memos or manual invoices as needed, and filing monthly, quarterly, and annual sales and use tax returns
  • Contribute to month-end close and annual audit activities, including receivables reconciliation, foreign currency review, bad debt analysis, intercompany balancing, and backup support for accounts payable functions
