Job Description

We are looking for a dependable, detail-oriented individual to support front-desk operations while handling day-to-day accounts receivable and billing tasks for a busy office in Illinois. This long-term contract position is ideal for someone who is comfortable balancing customer-facing responsibilities with accurate financial and administrative work. The role requires strong attention to detail, sound organization, and the ability to manage a high volume of transactions in a fast-paced environment.

Job Responsibility

  • Welcome guests, answer general inquiries, and provide day-to-day administrative support to keep the office running smoothly
  • Record customer check payments accurately and ensure transactions are posted to the appropriate accounts
  • Apply manual payments in the system and verify that account activity is updated correctly
  • Prepare customer invoices and distribute them in a timely manner to support billing operations
  • Support accounts receivable functions by assisting with routine billing cycles, payment tracking, and account updates
  • Handle a large invoicing workload, including processing as many as 250 invoices in a single day while maintaining accuracy
  • Enter financial and customer data into internal systems and maintain complete, organized records
  • Use internal software to complete daily clerical and accounting assignments efficiently
  • Provide additional administrative or accounting assistance as business needs change

Requirements

  • Prior experience in accounts receivable, billing, reception, or administrative support roles
  • Strong data entry ability with a high level of accuracy and attention to detail
  • Proven ability to manage repetitive, high-volume transactional work without sacrificing quality
  • Confidence learning new software platforms and working effectively within proprietary systems
  • Clear verbal and written communication skills with a customer-focused approach
  • Strong organizational skills and the ability to prioritize tasks throughout the workday
  • Working knowledge of Microsoft Office, especially Outlook and Excel

Experience with accounts receivable activities such as billing, cash application, or commercial collections is preferred
