We are looking for a detail-oriented, hand-on Accounts Payable Supervisor/Lead to join our team in Walnut Creek, California. This long-term contract position offers the opportunity to oversee and contribute to high-volume invoice processing within a fast-paced environment. The role is ideal for someone with strong organizational skills and experience in accounts payable management, particularly in the construction industry.

Job Responsibility:

  • Lead a team responsible for processing over 2,000 invoices monthly across multiple entities
  • Process both purchase order (PO) and non-PO invoices, ensuring accuracy and compliance with company policies
  • Oversee invoice coding, with periodic reviews of overhead cost allocations
  • Utilize accounting software such as Sage Timberline, QuickBooks, Timberscan, and Procor to manage accounts payable functions
  • Troubleshoot software-related issues and ensure seamless operations across various systems
  • Coordinate and manage multiple bank accounts, including handling lien waivers and mechanic liens
  • Maintain a highly organized workflow to meet deadlines in a high-pressure environment
  • Assist with administrative tasks, such as ordering office supplies and organizing team lunches
  • Collaborate with project teams to facilitate efficient invoice processing
  • Ensure adherence to industry standards and best practices within the construction sector

Requirements:

  • Proven experience in accounts payable management, preferably within the construction industry
  • Ability to handle high-volume invoice processing across multiple companies
  • Proficiency in accounting software including Sage Timberline, QuickBooks, and Timberscan
  • Strong skills in bank reconciliations, accruals, and invoice coding
  • Familiarity with lien waivers and mechanic liens
  • Advanced knowledge of Microsoft Excel for data analysis and reporting
  • Exceptional organizational and analytical skills
