We are looking for an experienced Accounts Payable Specialist to join our team in Phoenix, Arizona. In this Contract to permanent role, you will play a key part in ensuring the efficient processing and management of accounts payable functions, including invoice handling, expense reporting, and vendor communications. Job Responsibility:
Process accounts payable transactions, ensuring proper coding of expenses and allocating costs to the correct centers
Verify and match invoices to purchase orders, entering accurate data into the corporate accounting system
Manage non-PO invoices by importing data and routing them to the appropriate parties for approval
Monitor the accounts payable email inbox and physical mailbox to ensure timely vendor invoice processing
Address inquiries from vendors and internal teams regarding payment statuses and other accounts payable matters
Apply use tax to invoices as required and update vendor master files with accurate information, including W-9 and 1099 data
Assist with weekly check runs, ensuring timely and accurate payment processing
Review employee expense reports for compliance with corporate policies, ensuring proper documentation and coding
Provide support for employee inquiries related to expense reporting processes, payment statuses, and system requirements
Handle special financial requests, such as manual checks, wire payments, and audit-related tasks
Requirements:
Previous experience in accounts payable or a similar financial role
Proficiency in processing invoices, including coding and matching to purchase orders
Strong knowledge of Automated Clearing House (ACH) and check run procedures
Ability to manage vendor communications and update vendor master files accurately
Familiarity with assessing use tax and ensuring compliance with reporting requirements
Excellent attention to detail and organizational skills
Ability to handle special financial requests and manage multiple tasks effectively
Strong communication skills for responding to inquiries from vendors and internal teams
