Job Description:

We are looking for a detail-oriented Accounts Payable Specialist to join our team on a contract basis in Portland, Maine. In this role, you will play a critical part in ensuring the accuracy and timeliness of invoice processing, payment coding, and vendor account management. This position is ideal for someone who thrives in a fast-paced environment and has a keen eye for detail.

Job Responsibility:

  • Process and verify accounts payable transactions, including invoice coding and payment approvals
  • Maintain vendor accounts by updating W-9s and ensuring compliance with company policies
  • Handle automated clearing house (ACH) payments and perform check runs as needed
  • Review purchase orders and match them with corresponding invoices
  • Ensure timely resolution of discrepancies by collaborating with internal teams and vendors
  • Monitor repair invoices for vessels in dry dock and ensure all data is accurately recorded
  • Assist with general maintenance of financial records and data entry conventions
  • Prepare accounts payable reports and provide updates to management as requested
  • Support ongoing processes to stay current with AP entry requirements and organizational standards
  • Uphold a high level of attention to detail and accuracy while adhering to deadlines

Requirements:

  • Proven experience in accounts payable processes, including invoice coding and account management
  • Familiarity with automated clearing house (ACH) payments and check runs
  • Knowledge of purchase orders and invoice matching protocols
  • Strong organizational skills and the ability to manage multiple tasks simultaneously
  • Proficiency in data entry and maintaining accurate records
  • Excellent communication skills to interact effectively with vendors and internal teams
  • Ability to identify discrepancies and take appropriate action to resolve them
  • Prior experience working within structured accounting systems or conventions
