We are looking for a detail-oriented Accounts Payable Specialist to join our team in Indianapolis, Indiana. In this role, you will play a key part in managing vendor invoices, maintaining records, and ensuring compliance with company policies. This position requires precision, strong organizational skills, and the ability to collaborate effectively across departments.
Job Responsibility:
Process vendor invoices with accuracy, ensuring proper approvals, account coding, and supporting documentation
Utilize Adobe Acrobat to organize, annotate, and securely store vendor documentation and payment files
Maintain comprehensive and accurate accounts payable records, including digital filing and audit trail documentation
Verify and manage vendor profile and banking changes while adhering to strict internal controls
Identify and resolve invoice discrepancies by coordinating with vendors and internal teams in a timely manner
Prepare weekly payment batches for review, ensuring all information is accurate and complete
Reconcile vendor statements, investigate discrepancies, and follow up with necessary parties to resolve issues
Support month-end accounts payable activities, including invoice coding and documentation requirements
Ensure compliance with anti-fraud measures and cybersecurity protocols, escalating suspicious activities as necessary
Assist with maintaining job costing and expense tracking related to accounts payable processes
Requirements:
Proven experience in accounts payable or related financial roles
Proficiency in using Adobe Acrobat for document organization and markups
Familiarity with accounts payable systems
Epicor experience is preferred
Strong attention to detail and ability to manage multiple tasks simultaneously
Excellent communication skills for interacting with vendors and internal teams
Knowledge of anti-fraud and cybersecurity procedures in financial operations
Ability to ensure compliance with internal controls and accounting standards
Experience with invoice processing, coding, and reconciliation
