We are looking for an experienced Accounts Payable Specialist to join a non-profit organization in San Diego, California. This contract position requires a detail-oriented individual to manage weekly accounts payable processes and ensure accurate, timely payments. The ideal candidate will bring expertise in AP functions, vendor management, and financial systems, contributing to the organization's operational efficiency.
Job Responsibility:
Process accounts payable transactions on a weekly basis, ensuring accuracy and compliance
Prepare and execute payment batches, including Visa Direct payments and debit card transactions
Utilize automated AP systems to maintain efficiency and handle exceptions as needed
Collect, review, and manage W-9 forms for proper vendor documentation and compliance
Process employee reimbursements and corporate expenses through Concur, including reconciling American Express statements
Reconcile accounts payable activity and provide support for month-end close processes
Maintain organized and audit-ready documentation for all AP transactions
Collaborate with finance and operations teams to ensure timely and accurate payment processing
Operate and manage financial tools such as QuickBooks Enterprise Desktop, Concur, and Microsoft Excel
Ensure adherence to internal controls and strengthen vendor relationships
Requirements:
Minimum of 2 years of accounts payable experience, ideally in a non-profit or high-volume environment
Proficiency in handling electronic payments and processing vendor transactions
Strong attention to detail and ability to meet recurring deadlines
Familiarity with QuickBooks Enterprise or similar accounting software
Experience with Concur expense management systems
Advanced Excel skills, including the use of formulas and spreadsheet organization
Ability to work onsite in San Diego, California, and collaborate effectively with internal teams
Knowledge of AP processes such as ACH payments, invoice coding, and check runs
