We are looking for a highly organized and detail-oriented Accounts Payable Clerk to join our team in San Diego, California. Job Responsibility:
Process 50–100 invoices weekly with precision and adherence to organizational policies and funding regulations
Review, verify, and accurately code invoices to meet grant and funding requirements
Manage contract-based and non-contract invoices, ensuring proper allocation to grants and funds
Match invoices with contracts, purchase orders, and supporting documentation to ensure compliance
Support active contracts by confirming invoice accuracy and alignment with contract terms
Assist with payment runs, including preparation, validation, and resolving any issues
Identify and resolve discrepancies, coding errors, and missing documentation in a timely manner
Maintain thorough documentation for audits, grant reporting, and compliance purposes
Update and manage vendor records, including setup and maintenance
Collaborate with vendors and internal teams to address inquiries and resolve payment-related issues
Requirements:
Previous experience in accounts payable, including invoice processing and coding
Proficiency in Microsoft Excel for reviewing and navigating spreadsheets
Strong attention to detail and commitment to accurate financial documentation
Ability to manage multiple priorities and meet deadlines in a compliance-driven environment
Excellent problem-solving skills to identify and resolve discrepancies
Familiarity with vendor management processes and responding to inquiries
Experience with maintaining electronic and physical records for auditing purposes
Effective communication skills for coordinating with internal teams and external vendors
