Job Responsibility:
Prepare and submit banking and vendor documentation by entering required information into forms and external portals, ensuring materials are complete through final internal approval
Work through unique vendor submission formats and portal requirements, using sound judgment to resolve issues and keep requests moving efficiently
Evaluate write-off requests from internal stakeholders, confirm they meet established guidelines, and record approved transactions accurately in the accounting system
Handle large volumes of write-off activity with speed and precision while maintaining consistent data quality
Monitor the bank portal for stop payment activity, reverse related entries as needed, and share complete updates with the appropriate collections contacts
Review checks received in the Walnut Creek, California office, including supporting payment details, to help ensure proper application of funds
Organize complex remittance data into clear, standardized spreadsheet formats that support timely and accurate posting
Follow up with internal teams or external clients when payment instructions are missing, unclear, or no longer valid to ensure accurate processing
Requirements:
Experience supporting accounting operations in areas such as accounts payable, accounts receivable, billing, or reconciliations
Ability to perform repetitive data entry work accurately while managing a high-volume workload
Strong attention to detail when reviewing payment documentation, remittance records, and transactional requests
Comfort handling non-routine requests and navigating varying forms, templates, or external portals
