We are looking for an experienced Accounting Specialist to join a small, yet busy team in Las Vegas, Nevada. In this role, the Accounting Specialist will play a vital part in managing vendor relationships, overseeing invoice processing, and ensuring accurate records across multiple entities. This is a Contract-to-permanent position, offering the opportunity to transition into a long-term role based on performance. The ideal Accounting Specialist will have a strong understanding of operational accounting (Accounts Payable & Accounts Receivable), general ledger, reconciliations and able to assist the Controller with ad-hoc related projects.
Job Responsibility:
Manage accounts payable functions, including coding, scanning, and processing invoices for accurate recordkeeping
Coordinate vendor services for building management needs, such as plumbing, electrical work, and facility maintenance
Utilize QuickBooks and Bill.com to process payments, generate financial reports, and ensure proper integration of accounts
Research and resolve discrepancies in invoices and general ledger accounts to maintain accurate financial data
Download reports from QuickBooks and format them in Excel for analysis and presentation
Respond to inquiries from vendors, members, and other stakeholders with professionalism and effective communication
Track expenses and prepare reports for management, ensuring compliance with organizational policies
Collaborate with departments and assist colleagues during downtime to promote teamwork and efficiency
Handle non-purchase order invoices, ensuring proper documentation and processing
Coordinate with external parties, such as fire marshals, during facility inspections and maintenance projects
Requirements:
Proficiency in QuickBooks and Bill.com for accounts payable tasks
Strong experience in coding and processing invoices, including vendor invoice reconciliation
Advanced skills in Microsoft Excel, including formatting and formula creation
Nonprofit experience is useful
Excellent customer service skills with the ability to manage challenging interactions
Ability to handle multi-line phone systems and respond to inquiries effectively
Detail-oriented with strong organizational skills for managing financial records
