Job Description

We are seeking a detail-oriented accounting specialist for a direct-hire opportunity with a well-established organization in the Syracuse area. This role will support Accounts Receivable (A/R), Accounts Payable (A/P), and general administrative functions and is well suited for someone with a solid accounting foundation who enjoys balancing hands-on transactional work with broader office support in a collaborative, team-oriented environment.

Job Responsibility

  • Support day-to-day accounting operations across Accounts Receivable and Accounts Payable
  • Generate customer billing documents and send invoices promptly to support accurate revenue collection
  • Record incoming payments, apply them to the correct accounts, and maintain up-to-date receivables records
  • Monitor outstanding balances, review aging reports, and communicate with customers regarding payment status as needed
  • Reconcile customer accounts, investigate discrepancies, and resolve payment or billing differences
  • Enter and process supplier invoices, verify payment details, and help ensure vendors are paid on schedule
  • Compare purchase orders, invoices, and receiving documentation to confirm transaction accuracy before payment
  • Reconcile vendor statements, maintain complete and accurate financial records, and assist with expense tracking and reporting
  • Organize electronic and paper records, perform data entry, prepare routine documents, and provide general administrative support
  • Communicate with vendors, clients, and team members to address questions and keep financial information current

Requirements

  • Prior experience supporting both accounts receivable and accounts payable functions
  • Minimum one years' experience working in accounting, bookkeeping, finance, or a related discipline
  • formal education in a related field is preferred
  • Working knowledge of basic accounting principles
  • Proficiency with Microsoft Excel & Microsoft Office Suite

  • Accurately assign bills and customer payments to correct GL accounts and cost centers by evaluating invoices, expense reports, and payment documentation
  • Ensure timely and accurate vendor payments via check, ACH, or wire transfer, and support customer collections as needed
  • Assist with month-end close procedures, including AP/AR accruals, account reconciliations, and reporting
  • Track, prepare, and issue 1099s and support annual 1099 reporting requirements
  • Assist with annual financial audits and ad-hoc regulatory audits, ensuring accurate and complete documentation
  • Collaborate with department heads to resolve discrepancies, support expense coding, and address billing or payment questions
