Job Description

We are looking for a detail-oriented Accounting Assistant to support purchasing, project coordination, and departmental administration for a retail organization in New York, New York. This is a part-time Contract position scheduled for 24 hours per week, ideal for someone who can balance accounting tasks with project-related administrative support. The role requires strong organization, clear communication, and the ability to work effectively with internal teams and external vendors in a deadline-driven environment.

Job Responsibility

  • Create purchase requisition documents for review and approval by project leadership
  • Partner with Accounts Payable to help route invoices, confirm coding accuracy, and monitor payment status
  • Address vendor questions related to payments by coordinating with the appropriate accounting contacts
  • Compare invoice records with financial reports to verify accuracy and prevent duplicate processing
  • Maintain and monitor active project coding details to support accurate tracking and reporting
  • Prepare tenant allowance documentation and assist with collecting required signatures and notarization
  • Provide administrative support for reconciliation activities tied to special projects
  • Organize, maintain, and streamline departmental files and records for easy access and compliance
  • Assist the Store Planning and Cost Control team with administrative and accounting-related tasks as needed

Requirements

  • Background in accounting or finance, including entry-level experience
  • Working knowledge of Accounts Payable, Accounts Receivable, and bank reconciliation processes
  • Experience coding invoices and supporting financial documentation workflows
  • Proficiency in Microsoft Excel and PowerPoint for reporting, tracking, and analysis
  • Familiarity with QuickBooks or similar accounting software
  • Strong attention to detail with a high level of accuracy in administrative and financial tasks
  • Effective communication skills and the ability to collaborate across functions
  • Dependable, well-organized, and able to manage priorities with urgency to meet deadlines
